They store your data on secure servers behind a firewall and use data centres in the United States, Ireland and potentially other locations.

As an attendee at a PaMAR event

If you have provided us with your personal data, such as your name, employer name and email address as a result of registering to attend a PaMAR event, then this information will be stored primarily by us in our secure systems in the UK. Access to this information is limited to those members of Fauna & Flora staff who may wish to, for example, contact you with details of future PaMAR events, opportunities and the monthly newsletter, to engage with our work.

How do we use your information?

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  1. To contact subscribers with newsletter updates through our monthly newsletter;

  1. To create aggregated statistical data and other aggregated information, which we may use to track analytics in order to understand website traffic and improve our site;

  1. To comply with applicable laws and regulations.

How will we communicate with you?

We may contact you to send you our newsletter or confirm your newsletter subscription, to send updates or surveys about the project or to answer messages you send us. For these purposes we may contact you via email, telephone, text message, or postal mail. Emails will always be accompanied by a link allowing you to unsubscribe at any time.

If you have provided us with an email address in order to receive our newsletter, this will be sent to you via Wix. Details of how they keep your data safe can be found on their website.

 We will only send communications to you where:

  1. we have your consent to do so; or

  1. the processing of your personal information is necessary for us to comply with a legal obligation; or

  1. there is a legitimate interest to contact you.

What do we do with your data once the project has finished?

We will only keep your data as long as it is necessary for us to use it and will delete it as soon as soon as there is no longer any legitimate reason to retain it. Once the PaMAR project has finished (or earlier if you ask us to), we will delete your data. The project is expected to end in 2028, but if the project is extended, we will continue to store your data until the project has been completed. At project end, we may wish to pass on your data to project partners or to continue to use your data to update you about alternative projects/campaigns. In this case, we will email you to verify if you are ok with your data being used in this way or if you would prefer us to delete it.

What are your rights?

You have the right to:

  • Request access to your personal data (commonly known as a “data subject access request”). This enables you to request a copy of the personal data we hold about you. We will only withhold data in limited circumstances where we have legitimate reasons for doing so (for example, where releasing this information will affect another person’s privacy rights). Please contact us using the details below to request this information.

  • Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.

  • Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.

  • Object to processing of your personal data where we are relying on a legitimate interest and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms. In some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your rights and freedoms.

  • Request restriction of processing of your personal data. This enables you to ask us to suspend the processing of your personal data in the following scenarios: (a) if you want us to establish the data’s accuracy; (b) where our use of the data is unlawful but you do not want us to erase it; (c) where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims; or (d) you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.

  • Request the transfer of your personal data to you or to a third party. We will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format. Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.

  • Withdraw consent at any time where we are relying on consent to process your personal data. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent. If you withdraw your consent, we may not be able to provide certain products or services to you. We will advise you if this is the case at the time you withdraw your consent.

How do you get in touch with us?
